Privacy Policy

This Privacy Policy explains how VenueSpree ("VenueSpree," "we," "us," or "our"), a product of ClickingSpree, collects, uses, discloses, and retains information when you use our website and facility rental platform (the "Service"). It applies to renters, organization staff, and visitors to any VenueSpree-hosted site, including white-labeled instances operated for a specific school district, city, university, or church ("Organization").

1. Information we collect

Account information

When you create an account, we collect your name, email address, and optionally a phone number. Organization staff accounts additionally include your role and the organization you're associated with.

Booking information

When you request a reservation, we collect the facility, date and time, expected headcount, stated purpose, and any answers to custom questions the organization has configured for that facility.

Payment information

Payments are processed by Stripe, our payment processor. VenueSpree does not store your full card number, CVV, or bank account credentials. We retain payment metadata necessary to operate the Service — such as the amount charged, payment status, transaction identifiers, and the last four digits of a payment method — but the sensitive payment details themselves are held by Stripe under its own privacy and security practices.

Usage and device information

We automatically collect limited technical information such as IP address, browser type, device information, and pages visited, to operate, secure, and improve the Service.

2. Cookies

We use essential cookies to keep you signed in and to remember basic preferences. With your consent, we may also use cookies to understand how the Service is used so we can improve it. You can manage your cookie preferences at any time through the cookie banner presented on your first visit, or by clearing your browser's cookies for this site.

3. How we share information

With the organization you're renting from. When you submit a reservation request, the relevant booking and contact information is shared with the staff of the organization that owns the facility, so they can review, approve, and manage your reservation.

With service providers. We share information with vendors who help us operate the Service, including Stripe (payments), our cloud hosting provider, and email/notification delivery providers. These providers are contractually restricted from using your information for any purpose other than providing services to us.

For legal reasons. We may disclose information if required by law, subpoena, or other legal process, or to protect the rights, property, or safety of VenueSpree, our users, or the public — which may be relevant given many Organizations using VenueSpree are subject to public-records laws.

We do not sell your personal information.

4. Data retention

We retain account and booking information for as long as your account is active and for a reasonable period afterward to satisfy the organization's recordkeeping obligations, resolve disputes, and comply with legal requirements. Government and school-district Organizations may be subject to public-records retention schedules that require records to be kept longer than our default retention period; where applicable, that schedule controls. You may request deletion of your account by contacting us, subject to any retention we're required to maintain.

5. Your choices and rights

You can access and update most of your account information directly from your dashboard. Depending on your location, you may have additional rights to access, correct, or delete your personal information, or to object to certain processing. To exercise these rights, contact us using the information below.

6. Children's privacy

The Service is intended for use by adults booking facilities on behalf of themselves or an organization. We do not knowingly collect personal information from children under 13. If a school or youth organization uses VenueSpree, account holders are expected to be staff or adult representatives, not minors.

7. Security

We use industry-standard technical and organizational measures — including encryption in transit, role-based access control, and audit logging of administrative actions — designed to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we'll update the effective date above and, where appropriate, provide additional notice.
